Performance Reporting is the last Project Communication Management process. It involves periodic collection and analysis of baseline vs. actual data to understand and communicate the project progress and performance as well as to forecast the project results.
Now, does it sound similar to Information Distribution? It does.
But it’s different than Information distribution in the sense that Information Distribution is about sharing the project status report as and when desired by the stakeholders, where as Performance reporting is about analyzing the project data, reporting on planned vs. actual as well as making forecast about the future.

Let’s look at the kind of reports prepared as part of performance reporting. Few such reports are:
Project Performance reports with respect to cost, schedule, scope and quality.
Trend reports on whether the project performance is improving or deteriorating
Earned Value reports
Forecasting reports on future project status and performance.
Let’s look at the inputs of this process. We will have already discussed all these documents listed as input to this process.
The tools and techniques are also quiet obvious. Just be aware of their names. You will not be ever asked in PMP exam about what are the different variance analysis methods used for variance analysis. You should just know that variance analysis is a technique used in analyzing planned vs. actual analysis in performance reporting.
Similarly, there are techniques used for forecasting the future project performance. Many organizations do use sophisticated software for such analysis, but in smaller project basic mathematical principles and common sense techniques can be used to create such reports.
This process results in Performance reports as output. In addition to that, change requests are also a very likely output. Why? Because, stakeholders may ask for some changes based on performance reports.
In addition to these two outputs, this process also results in updating the lessons learnt database. Can you think of why? Do this as an exercise…

Close procurements is the last process of the Project Procurement managing. This is the process of formally closing the contract.
The input of this process is the project management plan and the procurement documentation like contract, RFP, Performance Reports etc. These are the inputs, because all such documents need to be archived for future reference purposes.
The key technique for this process is Procurement audits. The aim of procurement audit is to identify successes and failures of the contract administration process and use the findings for the lesson learnt documentation.
Any claims or disputes should also get resolved through negotiation before closing the contract.
The output of the contract closure is actual letter handed over by the buyer to the seller informing about the contract closure.
Organization process assets also get updated as a result of this process, mainly the lesson learnt part.

While we looked at what a Project is, in the previous slide. Let’s now understand what Project Management is all about.As per the PMBOK definition, “Project Management is the application of knowledge, skills, tools and technique to project activities to meet the project requirements”.The keywords to pay attention here are knowledge, skills, tools and technique and project requirements. At this stage, let me ask you – do you remember that in lesson 1, we learnt, about the 5 process groups, 9 knowledge areas and 42 project management
processes? I hope you do. If not, please refer lesson 1 once again.
Project Management is achieved by proper application and integration of these 42 processes. Project application and integration means, these processes should be executed in the right manner as well as in the right order.
In terms of actual activities, managing a project typically requires doing three things. First, identify the project requirements. You might think that since there is a project, there would be requirements. So why is there a need to once again
identify project requirements. The reason is that when a project is initiated, it typically starts with the high level understanding of the project requirements. To actually meet the project objectives, these high level requirements need to be analyzed and specific project requirements need to be identified. Many projects fail, just because, requirements are not identified and managed properly, leading to chaos in the project.Secondly, managing a project also requires managing stakeholders. We briefly explained earlier that stakeholder is any one who has an interest in the project. For example, customer, company’s senior management and project team are all stakeholders of the project.Managing stakeholder is as important as identifying requirements. All stakeholders must work towards the single project objective, for the project to be
executed successfully.Finally, managing a project also requires balancing the project triple constraints. What are the project triple constraints? Cost, time, quality etc are the project constraints. For example, if you want a better quality product, it may require using better raw material, leading to a higher cost. But your project would have limited budget and you need to achieve a certain level of quality in that budget. So, you see, change in any one constraint is impacting the other constraint as well.
